Resident End Of Lease & Move Out Procedures

While we sincerely hope that our residents choose to stay with us and renew their lease, we understand that circumstances may lead to a decision not to renew. If you find yourself in such a situation, here are some guidelines to follow:

30 Day Notice

To ensure a smooth transition, we require a written notice of at least 30 days before the lease expires, but we truly value even more advanced notice. This will allow us sufficient time to prepare the property to market and perhaps even find a new tenant before your lease ends. When the 30-day mark approaches before your lease concludes, we will start advertising the property and arranging viewings for potential new residents. If you decide not to proceed with this process, opting out will require you to pay an additional month's rent.

PREPARE THE HOUSE

All personal belongings must be removed from the premises. Please remove all nails – DO NOT PATCH, SPACKLE OR SPOT PAINT NAIL HOLES, or touch up paint without approval. If you paint & it does not match or if you do a poor job of filling holes, you will be charged for necessary painting to match the existing paint or to redo spackling. Charges for excessive damage to the walls will depend on length of time in the property and whether it exceeds normal wear & tear. DO NOT CLEAN CARPETS! Carpets must be professionally cleaned.

INSPECTIONS

Once you have completely vacated the property and returned the keys, we will conduct a comprehensive inspection. We do not do move out inspections with tenants present at the property. This inspection may involve a third-party assessment, as well as our own walk-through video and a detailed set of move-out pictures. Utilities must be on during the inspection.

SECURITY DEPOSIT

After conducting inspections, we will carefully itemize any deductions from the security deposit. These deductions will be based on the condition of the property at the time of your departure, considering any damages or necessary repairs beyond normal wear and tear.
You must provide the office a complete Forwarding Address.
  1. Provide Ample Notice: If you decide not to renew your lease, we request that you give us a written notice well in advance. As mentioned before, a notice period of at least 30 days is required as per lease, but more advanced notice is always valued.

  2. Cooperate with the Move-Out Process: Once the decision not to renew is made, we will guide you through the move-out process.  Tenant may request conducting a pre-move-out inspections ($125 at tenant's request), addressing any potential repairs or issues.

  3. Property Condition: Please ensure that the property is left in a clean and well-maintained condition when you vacate. We will conduct a move-out inspection to assess the property's condition and discuss any necessary repairs or deductions from the security deposit, if applicable.

  4. Security Deposit Refund: As mentioned earlier, we will make every effort to process the security deposit refund within 30 days from the date of your move-out and the provision of a forwarding address.

  5. Finalize Paperwork: Before moving out, please ensure all necessary paperwork, keys, and access devices are returned to us. This includes completing any required move-out forms and settling any outstanding dues or charges.
